Air Travel Tips Every TDY Traveler Should Know
Commercial air travel is the most common mode of transportation for TDY assignments. Navigating the rules and making smart decisions ensures a smoother journey and fewer reimbursement headaches.
Booking Through Proper Channels
Defense Travel System integrates with contracted travel agencies to provide compliant flight bookings. While you might find lower fares on personal travel websites, booking outside approved channels risks reimbursement issues. The government’s contract fares include features like flexible changes that discount fares often lack.
When booking, select the lowest cost option that meets your mission requirements. This does not always mean the absolute cheapest flight. A slightly higher fare with better timing might be justified if it saves a hotel night or enables mission completion.
Baggage Allowances
Military and government travelers receive special baggage allowances on most carriers when traveling on official business. Carry your travel orders and military or government ID to receive these benefits at check-in. This can save $60 or more per checked bag each way.
However, excess baggage beyond standard allowances requires advance authorization. If your TDY requires extra equipment or materials, ensure your orders include authorization for additional checked bags before you travel.
Flight Changes and Delays
Travel plans change, and flights get delayed. When disruptions occur, contact your travel management company rather than making changes independently. They can rebook you on compliant fares and document the changes properly for your voucher.
Airport Expenses
Your M&IE allowance covers meals during travel days. Airport food costs are not separately reimbursable beyond your per diem. Plan accordingly for early morning departures or long layovers by packing snacks or budgeting from your daily allowance.
Loyalty Programs
You may keep frequent flyer miles and hotel points earned during official travel for personal use. Over time, TDY travel can accumulate significant rewards. Consistently booking with the same airline alliance or hotel chain maximizes these benefits without costing the government extra.
